Please note that invitation letters will be exclusively dispatched via mail to registered participants.

CANCELLATION OF REGISTRATION

Notification of cancellation must be made in writing and sent to [email protected]. Cancellation of registration will be accepted if it is received no later than 60 days prior to the event taking place, with a cancellation fee of $100.

Times Scientific Group holds the exclusive discretion to cancel or postpone any conference in the event of natural disasters, calamities, terrorism activities, or unforeseeable circumstances. In such cases, the organizer will not bear any further liability to the client.

Registrations will remain valid for the rescheduled event or for future editions if the conference is postponed due to causes beyond the organizer's control. The Registration Fee and Accommodation charges will be automatically transferred to the next scheduled conference, and a refund policy will not be applicable under these conditions.

If a registrant is unable to attend the rescheduled event, a 100% credit of the paid amount will be provided. This credit can be utilized for another Times Scientific Group event occurring within 18 months from the date of the postponement.

The organizer does not accept liability for personal injuries or loss or damage to property belonging to delegates, either during or as a result of the conference.

• Registrations cancelled less than 60 days but more than 30 days before the event will be refunded with 50% of the registration fees.

• Registrations cancelled less than 30 days before the event will not be eligible for any refund.

We regret that no refunds, reductions and no shows will be accepted for cancellations made less than 30 days prior to the event.

CANCELLATION OF ACCOMMODATION

Accommodation cancellation policies are totally different as organizers reserve large number of rooms for conference attendees. Any amendments to original hotel bookings must be forwarded via email to [email protected] We regret to inform you that verbal changes or cancellations cannot be accepted, and the hotels will not entertain any direct changes. Any cancellations made 30 days before the event will not be eligible for any refund.

TRANSFER OF REGISTRATION

In the event that a registrant is unable to attend for any reason, they have the option to substitute someone else from the same institute/organization. Transfers of Registration must be made by the registered person in writing to [email protected] with Complete mailing address of the replacement person which includes full name, university/institutions, country, phone, email and the presenting title and abstract.

REFUND PROCESSING TIMELINE

Please allow a period of 50-90 days for the processing of your refunds. The funds will be returned using the same method as your initial registration payment. It may take up to 5-7 business days for the processed refund to be reflected on your credit card statement.

AUTHORIZATION POLICY

Upon conference registration, you are granting Times Scientific Group permission to capture, record, and utilize your name, likeness, image, and comments. This encompasses the right to publish, reproduce, exhibit, distribute, broadcast, edit, and/or digitize the resulting pictures and materials in publications, promotional materials, or any other medium worldwide without compensation. Please be advised that capturing pictures and/or videotaping during any session is strictly prohibited. Should you have any queries, feel free to contact us.

POLICY ON POSTPONEMENT:

Any changes, including modifications or transfers of registration, in the participant's attendance must be promptly communicated to the Program Manager.

In the event that Times Scientific Group postpones a forum due to unforeseen reasons, the registration fees paid by all registered attendees will be refunded in the form of a credit. This credit can be utilized to register for any other Times Scientific Group Conferences event scheduled to take place within two years from the date of the postponement announcement.

CONFERENCE BADGES

Conference identification cards are mandatory for every attendee to participate in conference activities and attend all scientific sessions.

VISAS

All the attendees are advised to contact the nearest embassy, consulate, or travel agency for information about the visa requirements.

Please note that Times Scientific Group will not directly engage with any embassy or consulate regarding visa applications.

All registered attendees will be provided with Invitation letter in writing to [email protected]

The organizers cannot be held liable for visa rejection or inability to obtain visa in due time.

INSURANCE

The registration fee does not include insurance for conference attendees. It is recommended that attendees obtain appropriate travel insurance in their home country to cover pre-journey cancellation due to personal reasons, as well as insurance for accidents, medical expenses, and the loss of personal belongings during their visit.

FORCE MAJEURE

The organizers are not liable and do no process any refund if the entire conference has to be cancelled due to a force majeure incident force majeure” means any circumstances not within the reasonable control such as

• Any action taken by a governmental or public authority, including but not limited to the non-granting of consent, exemption, approval, or clearance.

• Any destruction, malfunction or damage of or to any premises or material;

• Any civil commotion or disorder, riot, invasion, war, acts of terrorism, threat of or preparation for war;

• Any fire, explosion, storm, flood, earthquake, subsidence, epidemic, public health crisis, or other natural physical disaster, as well as any strike, lockout, or disruptions to venues or accommodations.

The organizer disclaims responsibility for any loss or damage resulting from the substitution, alteration, postponement, or cancellation of an event due to factors beyond its control, including force majeure, natural disasters, sabotage, accidents, trade or industrial disputes, terrorism, or hostilities.

PHOTOGRAPHY/VIDEO

The Organizers reserve the right to capture images, record audio, and film video footage of the proceedings, which may include audience testimonials taken during the conference. Materials produced may be displayed online or to print for marketing purposes by the Conference organizers.

If any delegate does not wish to have their image or video proceedings used for promotional purpose, they must inform the conference organizers in writing to [email protected]

Organizer does not prohibit participants, exhibitors, sponsors, from photographing or video, sharing images or recordings on social networking sites or autonomous websites or reports. Please be advised that the Organizers cannot assume responsibility for materials or images used in this manner.

UNSOLICITED COMMERCIAL E-MAIL (ANTI-SPAM) POLICY

Preserving the privacy of internet users is a paramount concern for Times Scientific Group and our valued clients. We are dedicated to upholding the privacy rights of both our clients and consumers, considering it an essential aspect of our business.

Message Recipient Policy - Prior to receiving emails, advertisements, or promotional content from us, clients must explicitly provide their consent to receive such messages. Any recipient holds the right to request removal from our mailing list at any time, and we will promptly honor such requests. Furthermore, we will thoroughly investigate any claims made by recipients concerning unsolicited messages.

The utilization of unsolicited email messages to promote our brand and website is strictly prohibited. Non-compliance with this policy may result in the termination of partnerships and/or affiliate accounts.

TRANSPORTATION

Participants are solely responsible for arranging their own transportation facilities.

ALTERNATIONS OF THE CONFERENCE PROGRAM

Organizers reserve the right make alterations to the conference program, venue and timings. Once after the final agenda is published, due to uncontrolled circumstances the organizer may call for alterations/cancel of the speakers and topics and due to which program format may be changed accordingly. Any substitutions, alterations, or amendments will be promptly communicated through our conference webpages.

SECURITY AND DATA ENCRYPTION

The conference registration website prioritizes the security of your credit card and personal information through robust encryption measures.

DISCLAIMER

The organizers are not liable for expenditure, damages and/or losses of any kind which may be incurred by the conference attendees or by any other individuals accompanying them, applies both during the conference and while traveling to/from the conference Delegates are responsible for their own safety and belongings.
